Windows printer stays offline

The status says Offline. Or Use Printer Offline is checked. Jobs sit in the queue and nothing leaves.

Microsoft’s free how-to already said power-cycle the printer and run Get Help. You did that. The status did not flip to Ready.

Most of the time the stuck Offline is one of five edges that look like the same gray status:

  1. Use Printer Offline / Pause Printing. Open the print queue, open the Printer menu, clear both if they are checked. Microsoft documents those checkboxes on the classic queue path. That row alone fixes a lot of “Offline” printers that are powered and reachable.
  2. Win11 Settings vs classic Devices and Printers. Settings › Bluetooth & devices › Printers & scanners › Open print queue can show a modern queue (ellipsis → Cancel all) without that Printer menu. If you cannot see Use Printer Offline, open the classic Devices and Printers window and open the queue from there. Exact Related settings wording (“More devices and printer settings”) varies by build — official pages checked for the note did not settle every label, so treat the wording as unverified.
  3. Same Wi-Fi / cable. Wireless printer and PC on the same Wi-Fi (extenders and separate SSIDs count as different networks). USB: seat the cable. Power-cycle once (off, unplug 30 seconds, plug in, on) before you chase settings if you have not already.
  4. Let Windows manage my default printer. Settings › Printers & scanners → Set as default. If that button is missing, turn off Let Windows manage my default printer first, then set the default yourself.
  5. Cancel jobs + Print Spooler. Cancel all pending jobs in the queue; Search → services → Print Spooler → Restart. Do this after the Offline checkboxes, not instead of them. A later step on Microsoft’s connection article also documents Stop → clear %WINDIR%\system32\spool\PRINTERS → Start again.

Work top to bottom. Stop at the first branch that fits. Do that one. Do not apply every row.

After those five, run the Get Help printer troubleshooter and stop. Manufacturer support is last; this page will not lead with an OEM utility maze. SNMP Status Enabled and obscure port quirks: official Microsoft Support pages checked for the note did not name them, so treat those as unverified. No pirated drivers. No “force online” registry folklore.

FAQ

Why does the printer say Offline when it is on?
Often Use Printer Offline or Pause Printing is still checked on the Printer menu, or a wireless printer is on a different SSID than the PC. Power and Get Help are the free door; these edges sit after that.
I am on Windows 11 and I cannot find Use Printer Offline.
Open print queue from Settings may hide the classic Printer menu. Open Devices and Printers, open the queue from there, then clear Use Printer Offline and Pause Printing.
Should I restart Print Spooler first?
Clear the Offline / Pause checkboxes and confirm same Wi-Fi (or USB seated) before you restart the service. Spooler restart helps stuck jobs; it does not replace the menu check.
Will this promise printing returns?
No. Microsoft Support stays free and wins if their pages change. This page is unofficial triage.
